The signature is created in your browser, which keeps your information for your next visit. Nothing is sent unless you ask to suggest it to your company.

Where to paste your email signature

Once copied, the signature is pasted into your email client's settings. The path depends on the tool.

What to put in an email signature

A good signature lets people identify and reach you at a glance. Keep to the essentials and keep it simple.

Guide: What should you put in a professional email signature?

  • The essentials: first and last name, job title, company, a phone number and the website.
  • The logo or a photo: a PNG or JPG image that is already online. Avoid SVG and WebP, which several email clients don't display.
  • Two or three social networks: the ones you are actually active on.
  • The legal notice if you write on behalf of a company (see below).
  • What to avoid: quotes, long disclaimers, multiple colors and fancy fonts. A font installed everywhere, such as Arial, Verdana or Georgia, displays as intended for your recipients.

No law requires you to have an email signature. But in many countries, registered companies must show certain details on their business correspondence, and business emails generally count. The signature is the most practical place to put them.

The exact list depends on the country and the type of company. It usually includes:

  • the company's registered name and legal form (Ltd, PLC, GmbH, SAS…);
  • its registration number and where it is registered;
  • the registered office address;
  • in some countries, further details, such as the share capital or the names of the directors.

Fictitious UK example: Lumen & Co Ltd, registered in England and Wales, company number 00000000. Registered office: 12 Example Street, London.

A confidentiality disclaimer is not required. Regulated professions (lawyers, accountants, healthcare professionals…) may have their own rules: check with your professional body. If in doubt about the rules in your country, ask your accountant or legal adviser.

One signature for the whole team?

The generator suits one person or a small team. Beyond that, every change of job title, number or logo means everyone has to copy their signature again, and the versions end up drifting apart.

  • Brandesk generates each employee's signature from your Google Workspace or Microsoft 365 directory.
  • Brand guidelines are locked: employees cannot change the design.
  • The signature is written directly in Gmail; an add-in inserts it in Outlook.
  • A change of role updates the signature; new hires get theirs, and when someone leaves, it is removed.

FAQ

Frequently asked questions

Is the generator free? Do I need an account?

It's free and needs no account: no email address is required to copy your signature. A “Made with Brandesk” line is added under the signature by default; you can remove it.

Where does the information I enter go?

Nowhere unless you ask: the signature is created in your browser and your information is not sent to Brandesk. Your browser keeps it for your next visit; the “Clear my information” button deletes it. Images are loaded from the addresses you enter. If you suggest the signature to your company, Brandesk receives it with your address and your recipient's, to send a single email; the recipient's address is not stored or reused. We only measure, anonymously, which template is copied, the answer to the team size question and the outcome of a suggestion.

Does the signature display well on mobile?

It is built like Brandesk signatures: tables, inline styles and a maximum width of 600 px, the most reliable method for email. Rendering still varies from one email client to another: send yourself a test email and open it on your phone. Mobile apps often have their own signature setting, sometimes plain text only.

How do I get the same signature across the whole team?

Everyone can create theirs here with the same template, colors and font, then copy it again after every change. For a team, Brandesk generates each employee's signature from your directory, locked to your brand guidelines, and deploys it in Gmail and Outlook: see Brandesk email signatures.

Is an email signature the same as an electronic signature?

No. An email signature is the block of contact details added at the bottom of your emails. An electronic signature is used to sign a document, such as a contract or a quote, with legal effect: it's a different tool.

Your brand deserves to be consistent everywhere.
